Using Your Jobvite Connector

A step-by-step guide to using your Jobvite Connector for assigning assessments to Requisitions and inviting candidates to take them.

Please note: This tutorial requires the Connector to Jobvite already be enabled. Please email the Customer Success team if you have not completed this step.

Invite candidates to take assessments.

1. Login to your Jobvite account.

2. Select Candidates from the top navigation menu to go to your list of candidates.

3. Select the candidate you want to invite to take an assessment and verify that they have a valid email address. Berke invitations require a working email address.

4. Change the candidate’s workflow step to “Perform Berke Assessment.” This tells Berke to send an email invitation to the candidate. After Berke sends the candidate an invitation, the next time you refresh the page the candidate’s status will be changed to “Berke Invitation Sent.”

Note: If you do not see the “Perform Berke Assessment” workflow step, then the workflow assigned to the requisition is not configured to use the Berke Assessment. You will need to use the steps below on assigning assessments to requisitions to complete this step.

Correcting email addresses

If the candidate’s email address is incorrect, you can update the candidate’s email address and save the change, then set the workflow status to “Perform Berke Assessment” again. This will send the invitation to the new email address.

Note: Every time you set the status to “Perform Berke Assessment,” Berke will send the candidate an invitation unless the assessment is already complete.

Changing workflows after an invitation has been sent

After inviting the candidate, you can change the candidate to other workflow statuses as needed. The candidate does not have to remain in a Berke-related status.

Checking assessment status.

To check the status of any assessment, go to a candidate’s profile page in Jobvite and scroll to the “Application Details” section. The “Berke Assessment Status” line will give one of the following statuses:

  • “Not Started” and last invitation sent date, or
  • “In Progress” and percent complete, or
  • “Complete” and completion date, or
  • “Error” for things such as an invalid email address or a requisition not being assigned to a Berke Assessment.

Reviewing completed assessments.

Once the candidate completes the assessment, Berke will automatically advance the candidate’s workflow status to “Review Berke Assessment Results.” You can then view their Berke results.

1. Login to your Jobvite account.

2. Select Candidates from the top navigation menu to go to your list of candidates.

3. Select the candidate you want to review.

4. Scroll down on the candidate’s page to the Application Details section. There will be three new lines of information:

  • “Berke Score Level” will be High, Medium, or Low. High is between 67 and 100, Medium is between 34 and 66, and Low is between 1 and 33. Note:If the Berke Assessment is complete and this line is blank, then the Berke Assessment is not configured to return a score level.
    • “Berke Score” will be between 1 and 100. Note: If the Berke Assessment is complete and this line is blank, then the Berke Assessment is not configured to return a score.
    • “Berke Report” is a link to view the Berke Report and Interview Guide. Note: This link does not require a Jobvite or Berke login. To share the report either download the PDF and email it as an attached or copy and paste the link into an email. Anyone who receives the link can access the report (but no other reports – the link is unique).

 

Assign assessments to requisitions.

Before you can invite anyone to take an assessment via Jobvite, you must first assign your requisitions to the corresponding assessment you’d like each participant to complete. This is the only portion that will be completed inside your Berke account and must be completed by the account administrator within your company.

1. Login to your Jobvite account.

2. Create a requisition or choose an existing one and associate it with a workflow that contains Berke statuses.

3. An email will be sent to the integration owner informing them of the requisition and prompting them to assign it to a Berke assessment. Click the email prompt or login to your Berke account

4. Go to Settings in the upper right menu. Scroll down to Applicant Tracking and select “Assign Requisitions” to reach the configuration page.

5. By default, you will be shown a list of any unassigned requisitions currently in Jobvite. Click the dropdown to the right of the requisition’s name to select an assessment to assign to it. You can assign the same assessment to multiple requisitions. Click the “Ignore” button if you have a Jobvite requisition you do not want to use with the Berke Assessment. If you have a lot of unassigned jobs at any given time, you can opt to use the auto-assign rules tool to process these more rapidly in the future.

6. Select the “Save Changes” button at the bottom left of the page when you are done.

Customizing your Jobvite candidate view.

Jobvite’s candidate section (reached from the top navigation menu within Jobvite) comes with a tabled list of all the candidates within your Jobvite account and the ability to sort through them. You can customize this area to include filters for Berke scores and statuses as well as change out the column headers to enable sorting by Berke results at a glance.

Add Berke search filters

1. Login to your Jobvite account.

2. Select Candidates from the top navigation menu to go to your list of candidates.

3. At the bottom of the left-hand column where your current search filters are listed will be a blue button called “Configure Filters.” Select it to be taken to the filter selection screen.

4. A list of your current filters will be shown with a preview of how they are arranged on the right. Select the “Add a new filter” field at the bottom of your current filters list. It will open a dropdown list of options for all available filters you can add. Scroll to the bottom to where the Berke filters will be listed and click to add. Your new filter will appear at the bottom of the current list.

Add Berke columns to candidate list

1. Login to your Jobvite account.

2. Select Candidates from the top navigation menu to go to your list of candidates.

3. At the bottom of the left-hand column where your current search filters are listed will be a blue button called “Configure Filters.” Select it to be taken to the filter selection screen.

4. Near the top of the filter selection screen will be a navigation menu bar. Select “Search Result Columns” to go to the column editing screen.

5. Jobvite allows a maximum of six columns. Choose which column you’d like to swap out with a Berke status and click on the pencil icon to begin editing. Select the empty field to open a dropdown list of options of all available column statuses. Scroll to the bottom where the Berke statuses will be listed and click to add. Your new column is now added.

Jobvite Connector advanced settings.

Administrative accounts within Berke have further advanced settings available for use. To view these options, login to your Berke account and go to Settings in the upper right menu. Scroll down to Applicant Tracking and select “Jobvite ATS” to reach the administrative settings page.

Technical Contact

The Technical Contact is the person assigned to receive any error messages the system might issue such as an assessment invitation that cannot be delivered (probably due to an invalid email address) as well as any assignment alerts.

Send Usage Instructions

Use this field to enter email addresses (one per line) for anyone you’d like to send a list of instructions on how to invite candidates to Berke assessments using Jobvite as well as other subjects such as reviewing completed assessment results within Jobvite.

Configure Assessment Invitation Message

Below this is an area where you can compose your message to candidates when inviting them to take an assessment. It is designed as a template so that you can insert dynamic data tags such as the candidate’s name, manager’s name, or job title that will change according to each candidate’s application situation and add a personal touch to your message as well as build trust.
